Party planning

The Adelaide Party Hire Checklist

It is easy to forget something when you are hiring for a party, and a missing run of lights or too few chairs is the kind of thing you only notice on the day. This checklist runs through everything you might need to hire for an Adelaide event, grouped so you can tick off what applies and skip what does not.

Structure and shelter

Marquee or tipi sized to your guests (allow roughly 1 square metre per person standing, 1.5 to 2 seated, plus space for a bar and dancefloor). Sidewalls for weather and privacy. Flooring or a subfloor if the ground is soft, sloping or hard. A pop-up gazebo or pagoda for a bar, food station or smaller party. Market umbrellas for casual shade.

Not sure what size or style of marquee you need? The Adelaide marquee hire guide covers sizing by guest count and the difference between clear, white and tipi.

Furniture and seating

Banquet or round tables and enough chairs to seat your guests (for a seated event). Cocktail and bar tables for a stand-up party. Lounge settings (sofas, armchairs, ottomans) for a relaxed area. A bar, plus plinths, a cake table and a signing table if relevant. Linen, if not included with the tables.

Lighting and atmosphere

Festoon globe strings for a warm overhead canopy. Fairy or twinkle lights for sparkle and backdrops. Uplighting to colour walls, marquee linings or features. A neon sign or illuminated letters as a feature. Power or a generator if the site is short on outlets, which a supplier assesses.

Entertainment and the dancefloor

A dancefloor sized to your crowd (roughly half a square metre per dancing guest, with about a third to a half dancing at once). A jukebox, sound system or DJ for the music. Microphones for speeches. A photo backdrop or flower wall, and a photo booth to go with it.

FAQ

Questions, answered

Lighting and a wet-weather plan. People focus on the marquee and furniture and forget that a space transforms after dark with festoon and fairy lighting, and that an Adelaide forecast can turn. A marquee with sides and some warm lighting covers both.

For a seated event, one chair per guest plus a few spare, and enough tables to seat them (a 1.8m banquet table seats about 8 to 10). For a cocktail party, seating for around half to two-thirds of guests is usually enough, with bar tables for the rest. Suppliers help you get the numbers right.
